Welcome to HeavySet Tech! Onboarding is the first step in unlocking the full value of our platform. Our process is designed to connect your CRM, provide matching webforms, and set up the automations that help your team capture and convert leads more effectively.
This guide walks you through what to expect during onboarding and how we’ll work together to get you up and running.
1. CRM Connection
After you sign up, we’ll schedule a day within the next 4 weeks to begin your CRM integration. Your CRM (e.g., i360, MarketSharp) is the backbone of your business, and it’s the first thing we connect to HeavySet Tech.
What We Do: We’ll meet with your team on the scheduled date to connect your CRM. Our engineers will make sure the connection is working correctly.
Typical Timeline: The setup itself usually takes about 1 day once the integration begins.
2. Form Design
After connecting the CRM, our team designs webforms that match your existing website pages so new leads flow seamlessly into your CRM.
What We Do: We design and test the forms, then provide your team with the code and clear deployment instructions.
What You Do: Your web team is responsible for deploying the forms onto your website.
Typical Timeline: 2 days.
Milestone: Once form design is complete and the code is handed off to your team, billing begins (see details below).
3. Billing & Promo Credit.
When you sign up, you’ll make an initial payment of $1095.
Billing Start: Billing begins once the design code is delivered to your team.
Invoicing: Your first invoice is issued on the 2nd of the following month.
👉 Your Role: It’s essential that your team deploys the forms during the trial to begin capturing leads. We’ll provide support and guidance, but deployment is your team’s responsibility.
4. Fine-Tuning & Attribution
Once you’re live, we’ll help ensure your leads are tracked accurately. This may include setting up attribution sources, product IDs, or refining how leads flow into your CRM.
Our Customer Success Team is here to assist whenever you need adjustments.
5. SMS Automations Setup
Many clients want to take advantage of SMS automations. To do this, we’ll help you set up and approve a phone number with a provider such as Twilio, MessageMedia, or Podium.
What to Expect: Approval can take time due to industry regulations.
Your Role: Be prepared to provide information and make adjustments if requested by the SMS provider.
Once approved, we’ll connect your number and help configure your automations.
6. AI Agent Setup
After SMS is live, we can help build AI agents that automate lead response and follow-up.
Collaboration: Together, we’ll adapt your call center scripts into SMS workflows.
Testing: We’ll test them live, fine-tune, and get them running in production.
Ongoing Support: You’ll monitor notifications and share feedback so we can adjust as needed.
7. Email Automations Setup
If you’d like to use email automations, we’ll help you set up a provider such as Postmark or Mailchimp Transactional.
Setup: Quick DNS verification of your domain.
Success Tip: Clients who invest in customizing their emails (design + content) see the greatest results. We’ll provide templates to get you started.
8. Ongoing Support
Onboarding doesn’t end once you’re live.

You’ll also have regular check-ins with your client success manager to make sure everything is running smoothly.
