Overview
Integrating HeavySet Tech with Hatch allows you to automatically sync your form leads and CRM contacts directly to your Hatch account. This seamless integration ensures your leads are immediately available in Hatch for follow-up and nurturing campaigns.
Prerequisites
Before setting up the integration, you'll need:
- An active Hatch account at www.usehatchapp.com
- A Hatch API key (available from your Hatch account settings)
- A custom source configured in Hatch (e.g., "custom:webforms")
Configuring the Hatch Integration
Step 1: Navigate to CRM Settings
- Log into your HeavySet Tech account
- Go to CONNECTIONS → CRM → Edit Config
- Select the CRM configuration you want to enable Hatch integration for
Step 2: Open Hatch Settings
- Scroll down to the Secondary Integration Settings section
- Click the Hatch icon button to open the Hatch Settings dialog
Step 3: Configure Hatch Settings
Enable Hatch Integration
Toggle this switch to On to activate the integration. When enabled, contacts will be synced to Hatch according to your other settings.
API Key (Required)
Enter your Hatch API key. This authenticates HeavySet Tech with your Hatch account.
- Where to find it: Log into Hatch → Settings → API Keys
Custom Source
Specify the custom source name for all contacts sent to Hatch.

Format:
custom:name(e.g.,custom:webforms) - Purpose: This URL will be automatically appended with a lead ID parameter (&l=[id]) and included in the contact details sent to Hatch
- Use Case: Perfect for Hatch campaigns - when clicked, the URL will take the lead directly to your scheduling page with their information pre-filled, eliminating the need for them to re-enter their details
- Default: If left blank, no formUrl will be sent
- Optional: This field is not required for the integration to work
Form URL
Specify a URL to a HeavySet Tech form page that will be included with each contact sent to Hatch.
- Format: Must be a valid HTTPS URL (e.g., https://yourcompany.com/schedule)

Default: If left blank, defaults to
custom:webforms - Important: This source must already exist in your Hatch account. Learn more about custom sources in Hatch.
Sync Form Submissions
When enabled, any lead submitted through a HeavySet Tech form will be automatically sent to Hatch.
- Default: Off
Sync All CRM Leads
When enabled, any leads read from your CRM (regardless of how they were created) will be sent to Hatch.
- Default: Off
Sync Leads With Appointments
When enabled, leads that have already scheduled an appointment will also be sent to Hatch.
- Default: Off (leads with appointments are NOT sent)
Step 4: Save Your Configuration
- Click Okay to close the Hatch Settings dialog
- Click Save at the bottom of the Edit Config page to apply your changes
What Happens After Enabling
Once you've enabled and saved your Hatch integration:
- Contacts will be automatically sent to Hatch based on your configuration
- Each contact is sent only once (duplicate prevention is built-in)
- Contacts are synced within seconds of form submission or CRM sync
Contact Information Sent to Hatch
- Basic Info: First name, last name, phone number, email
- Address: Street address, city, state, zip code
- Source: The custom source you configured
- Form URL: If configured, a personalized link to your scheduling page with the lead
- Additional Details: Product interest, sales rep name, lead disposition, and other CRM data
Exclusions
Contacts will NOT be sent to Hatch if:
- They have opted out of email or text communications
- They don't have a phone number or email address
- They have an appointment scheduled (unless "Sync Leads With Appointments" is enabled)
Verification
To verify your integration is working:
- Submit a test lead through your HeavySet Tech form
- If your form includes appointment scheduling, allow the lead to complete the appointment selection process
- Wait approximately 5 minutes to give the lead time to select an appointment slot and for the system to process the submission
- Check your Hatch account for the new contact
- Verify the contact appears with the correct custom source
Note: If "Sync Leads With Appointments" is disabled, leads that schedule appointments will not appear in Hatch.
Troubleshooting
Contacts Not Appearing in Hatch
- Verify your API key is correctly entered and active
- Confirm your custom source exists in Hatch
- Ensure "Sync Form Submissions" or "Sync All CRM Leads" is enabled
- Check that the lead has a phone number or email address
- If testing with appointments, ensure "Sync Leads With Appointments" is enabled
Duplicate Prevention The integration automatically prevents duplicates.
