Overview
This guide provides instructions for integrating a client's Leap CRM account with the HeavySet Tech platform. The integration enables automated appointment booking, customer synchronization, lead management, and job tracking between Leap CRM and HeavySet Tech's Web Scheduler.
These steps may be completed by a HeavySet Tech engineer or by an administrator from the client's organization who has been granted the appropriate access level within Leap CRM.
Prerequisites
Before beginning the integration process, ensure the following requirements have been met:
• The client has an active Leap CRM account in good standing.
• The client is prepared to either create a new user account for HeavySet Tech or provide access through an existing administrator account.
• The designated account has access to the Leap CRM application settings, including the Developers section under Settings.
• A HeavySet Tech engineer or designated point of contact is available to receive and securely store the API token.
Phase 1 — Account Preparation & Credential Retrieval
Retrieving Credentials
Step 1: Access through Admin Account
Administrator actions must be performed to connect the HeavySet Tech platform to the client's Leap CRM system. This can be accomplished in one of three ways: the client may use an existing account and perform step 2 themselves, the client may create a new user account within their Leap CRM instance specifically for the HeavySet Tech developer, or the client may provide credentials to an existing administrator account. If a new account is created, it should be associated with the HeavySet Tech engineer's email address or a shared support address as appropriate.
Step 2: Generate an API Token
Using the Leap CRM admin account, navigate to the main Leap application and go to Settings → Developers. On this page will be a list of existing public API Tokens. Click the button in the top right labelled "Generate Token." Enter "HeavySet Tech" or desired token name, and record the token value. If the client generates this value, they must send it to the HeavySet Team.
| Note: The API Token is displayed only once during generation. Ensure it is recorded immediately and stored in a secure location. If the token is lost, a new one must be generated. |

Phase 2 — Finalize Integration

Step 3: Enter Credentials in CRM Connection Settings
In the HeavySet Tech platform, navigate to Connections → CRM → Edit Config → CRM Connection Settings. Enter the API Token value into the text box, then press "Okay" then "Save."

Step 4: Configure Stage Names and Result Options
Navigate to CRM Settings → Leap → Settings. Using the Job Sold Stage Names dropdown menu, select every stage name that represents a sold job. Using the Appointment Cancelled Result Options dropdown, select every result option name that represents a cancelled appointment. These values are different for each Leap business, so they must be configured to enable automations.

Step 5: Verify the Integration
Once all credentials and configuration settings have been entered, perform a test lead or API call to confirm that the integration is functioning correctly. Verify that data is flowing as expected between HeavySet Tech and Leap CRM.
| Note: If any credential values are rejected or the connection fails, revisit Steps 1 and 2 to regenerate and re-enter the API token, and verify the settings were configured correctly. |

Troubleshooting
• Ensure the admin account has the correct permissions to access the Leap CRM Settings and Developers pages.
• If the API Token is rejected, return to Settings → Developers in Leap CRM and generate a new token. Ensure there are no trailing whitespace characters in the pasted value.
• If the Job Sold Stage Names or Appointment Cancelled Result Options dropdowns are empty, verify that the Leap CRM account has active stages and result options configured.
• If test leads are not flowing through to Leap CRM after configuration, confirm that the API Token is still valid and has not been revoked.
